What is volunteer management software?

TeamKinetic Case Study: NHS Trust of Warrington & Halton Hospital

The combined NHS Foundation Trust of Warrington and Halton Hospitals is responsible for a budget of around £215 million each year. They manage over 4,200 staff and provide access to care for over half a million patients.

Two volunteer managers, Claire and Emily, manage and coordinate volunteers across the entire trust. We spoke to Claire to find out how Warrington and Halton have managed volunteers since December 2016 using TeamKinetic volunteer management software.

Can you explain your roles and responsibilities at Warrington and Halton Hospitals?

Emily and I lead the volunteer programme here at Warrington and Halton Hospitals Trust.  We are responsible for the safe recruitment and training of new and existing volunteers and developing innovative ways to engage volunteers to support patient and visitor experience.  We also work alongside the whole staff team to develop and improve their volunteer management skills.

How did you come across TeamKinetic?

In a previous role, I was the North West Volunteer Centres Representative for NCVO and had a demonstration of the Volunteer Kinetic software when the Volunteer Centre network was looking at alternative brokering solutions. It was a couple of years later when working with Warrington and Halton NHS Trust that I saw the opportunity for TeamKinetic to provide its software benefits for the organisation, so I got in touch.

Can you tell me about the kind of opportunities you have available to volunteers?

Currently, we have 32 different opportunities for volunteers to get involved with. Both clinical and non-clinical.  Some of these roles are more traditional such as our administrative roles, meeting and greeting and ward buddies, but there are also some unique roles that we have developed specifically for us. We have worked closely with our theatre departments, to develop roles for volunteers to assist our sterile services and provide back-office support to the stores. We also have volunteers in our eye clinic, medical engineering department and accommodation and education department to name a few.

How has TeamKinetic improved the recruitment process for volunteers?

The volunteering portal provided by TeamKinetic has allowed a simple registration process for our new volunteers enabling us to exceed our volunteer recruitment forecast to date. Being able to monitor the recruitment steps and manage the administration of DBS checks has supported a smoother and quicker registration to active rate.

How has TeamKinetic benefited the volunteer?

Our volunteers are aged from 16 to 83. For those confident using technology, it has handed over the responsibility for finding opportunities, logging hours and tracking their progress. This has incentivised them to search for more opportunities that match their interests and suit their needs.

Of course, for those less confident using technology we have spent some time showing them. For others we can imitate them as a user, enabling us to log their hours and track their activities.  Provider and Volunteer feedback on the portal is also a useful tool in encouraging others to register and supports the recognition and reward of their individual contribution. We have received some great feedback from our volunteers, telling us how much they like the system and like being able to pick their own opportunities and have the ability to try a variety of roles at the same time.  This has been a major draw for some of our younger volunteers who are keen to further their education and careers in the Health and Social Care field.

How has TeamKinetic benefited the opportunity providers?

Using the volunteering portal to list opportunities has made advertising opportunities across lots of social media channels and websites a lot easier. We take a short amount of time to train key staff to upload opportunities themselves if they are confident. This gives them more freedom and access to engaging volunteers who engage in their area of work

For those departments and staff who have time limitations and have a host of other programmes and systems to use, we are able to take the pressure off them and do it on their behalf. Collectively, this reduces the pressure placed on us volunteer managers and also reduces the time it takes for them to advertise opportunities.

What influence has your organisation had in the development of TeamKinetic’s functionality?

Over the last year, we have continually provided feedback on how the system could be developed to support specific aspects of our recruitment and administration processes and give us back valuable time to support our volunteers and staff. As the NHS’ recruitment is a much more stringent process compared to other sectors, such as sport. We needed a greater focus on the internal documentation required, and some of the suggestions we have made have gone into the development of the software.

What advice would you have for other NHS Trusts who need to improve their volunteer management?

For us, TeamKinetic software simplifies the recruitment and management of volunteers, enabling us to advertise opportunities on multiple social media channels and being an easy read platform for our volunteers to get involved in the opportunities available. Engaging more volunteers and providing robust good quality opportunities that support our staff and patient experience enables us to add value and improve our service to those using Warrington and Halton Hospitals NHS Trust.

TeamKinetic Academy: TeamKinetic Chatter, Online Chat Rooms for Opportunities

TeamKinetic is pleased to announce that the latest version of TeamKinetic Volunteer Management Software has arrived, bringing with it many new tools and features.

Now available is TeamKinetic Chatter that provides isolated chat rooms for opportunities that volunteers, providers and admins can use. It is a secure platform for volunteers and opportunity providers to communicate without the use of external instant messaging services.

TeamKinetic understands the importance of being able to have a communal area for volunteer and opportunity providers to be able to share their thoughts and comments on an opportunity. It enables those essential messages to be communicated to all volunteers without the formalities of an email or the cost of a SMS text.

In developing this functionality, the option to develop an API that connects Whatsapp or Facebook Messenger was considered. However, this feature would be limited as not all volunteers have the same access or use technology to the same extent as others. Factor in the inadequate control over how the data is shared following the acceptance of terms and conditions for using an external application and developing an internal function became more appealing. To help achieve GDPR compliance, it is in the best interest of TeamKinetic and our clients to reduce any opportunity for data to be shared unnecessarily.

TeamKinetic felt that by using our own chat engine it enables the opportunity providers and administrators to control the room’s tone, message and comments using the profanity filter and comment approval and deletion features.

TeamKinetic hopes that this new feature will continue to help develop the community aspect we want all of our voluntary organisations to share with its volunteers.

School Under The Tree

School Under The Tree

A few months ago I wrote a post about the potential impact we can all make and how we as individuals and business owners should try to maximise that impact. It occurred to me that I really needed to live by my own message and I started to look for new personal and business projects to increase my impact.

Through a friend, I was introduced to The School Under The Tree, a Manchester based charity that supports a school project in Ethiopia. The charity name echos its beginnings, a young Ethiopian man teaching local street children under a tree in the town of Awasa in Southern Ethiopia. Supported by people from Manchester, that school of humble beginnings has 13 years later transformed into a provider of primary age education for over 200 students every day.

The challenge

How can we make this small school in Ethiopia, sustainable and maybe even give it the potential to grow, without it being dependant upon donations and funding?

This is a challenge many fundraisers and 3rd sector organisations around the world battle with every day. My goal is to develop a business model that will allow the school to prosper long term, whilst staying true to its goal to provide education for some of the poorest young people in this region.

Introducing ‘Focus’, TeamKinetic’s design principle for better volunteer management

TeamKinetic is now a mature and fully featured volunteer management solution. As it has matured we have been able to more rigorously enforce a design principle for better impact across all user interfaces that we call Focus.

Focus is a collection of typography, grids, spacing, colour, layout and sizing rules that aim to achieve consistency of design, fluid layout for smaller screens and help to retain user focus on important tasks.

Volunteers, providers and administrators are presented with large amounts of information and we have been working hard to make this volume of information easy to digest in our Volunteer management application so the individual user focus is on the most pertinent information.

The biggest layout difference you will see is the support for a two-pane design with navigation elements in the left pane and the action area in the right pane. This layout also encourages the collection of tasks into one area, either functionally similar tasks or tasks commonly undertaken at the same time.

Colours are restricted to a limited palette so that actionable areas like buttons, menus and links, are obvious and easy to find.

Font sizes are consistent and changes in font size are restricted to key text and headings.

Animation are used to indicated areas of focus when information is updated or the user enters a new area.

Message and information areas are distinguished by a thick left border, the colour is contextual and can refer to the category, message type or other information.

Where possible we want to avoid page refresh as this slows the users experience and can break their focus on the task at hand.  Volunteers, Providers and Admin users all want to be able to undertake tasks with the need for a screen refresh.  Extended use of AJAX , a method of performing user interactions immediately without reloading a new page, enables us to keep the user focused on their task without the interruption of a page refresh and the subsequent visual scan of the page to locate the last point of focus.

AJAX methods are employed extensively across the admin area, especially when editing opportunities or volunteer profiles.

Grids and spacing automatically adjust to screen size and allow navigation areas to collapse to icon only links and wide content to collapse into vertical stacks keeping readability high.

TeamKinetic Case Study: NHS Pennine Acute Trust Volunteer Workforce

It is no secret that the National Health Service is planning some big things to celebrate its 70th Birthday. Two leading projects are in the works: The Cultural History of the NHS and The NHS at 70.
Collectively, these celebrations coincide with the bigger movement to increase volunteering within the NHS and David Cameron’s Big Society.

The excitement for such celebration and the increasing role of volunteers within hospital trusts made it fitting to share the experience of NHS Pennine Acute Trust developing its voluntary workforce through TeamKinetic’s volunteer management software.

How TeamKinetic Helped the Pennine Acute Trust 

A few years ago, NHS Pennine Acute Trust acknowledged its current method of volunteer management, which used a basic version of Microsoft Access, was becoming outdated and limited in its capacity to manage and engage volunteers effectively.

Exploring the options available became the responsibility of Jo McCallister, Volunteer Service Manager at the Trust. Jo recognised that social health volunteering is different to other voluntary sectors. With a much more rigorous recruitment process, including the processing of DBS and additional documentation required due to the nature of work, a system that was capable of supporting this process was essential. Jo also understood to create a strong, reliable and motivated workforce the software needed to provide effective channels of communication.

“Creating strong lines of communication is essential to any engaged team, more so in the voluntary sector as you have to understand what the volunteer is seeking and if you are able to fulfil their desire through an opportunity.”

When searching the different volunteer management software systems available, TeamKinetic was “a standout product, with a fresh and easy to use interface” prompting Jo to explore it further. With key features that surpassed the capabilities of the previous management method, such as logging hours, personalised and group emails, links to social media and the ability to upload additional documentation, the TeamKinetic software was an ideal match for the Trust.

To date, the TeamKinetic volunteer management software has successfully assisted in the recruitment of 550 volunteers, of which 90% are actively volunteering. Jo relates the success of the volunteering programme to everyday improvement the software has made: “Day in, day out, we know what we are doing, what our volunteers are doing and what needs to be done”.
Being able to have a structured system in place has made her job and those in her department much easier. It also provides a sense of security and continuity with new or alternative administrators able to pick up the system quickly and easily if required.

The multi-tier system, between volunteers, admins and opportunity providers, benefits all of those involved. By devolving the workload of information input, documentation upload, opportunity posting, the collection of feedback and generating reporting, it reduces the workload on volunteer managers. This saved time can then be used more effectively in building those interpersonal relationships with volunteers. Furthermore, volunteers are able to access and view opportunities online, which appeals to the growing amount of younger volunteers, with a quarter being under the age of 25, and for those older volunteers the system requires little to no training. Commenting on the experience of using TeamKinetic:

Introducing TeamKinetic: Steve Hall – Stepping into the Unknown

TeamKinetic …what fun we’ve had!

Tasked with introducing myself through a blog, I thought how I could best describe myself and the journey I have had so far with TeamKinetic.

There was a time when TeamKinetic was just a topic of conversation at the dinner table as Chris, my brother in law, would tell me how he and Rolf had been developing a piece of software for volunteer management. I remember Chris telling me how they ran the company out of the spare area in his dad’s office, which was often filled with construction workers and their muddy boots.

This was quite the contrast to my corporate job! I had spent seven years working for an American pharmaceutical company as IT Project Manager. I had initially enjoyed the job for its methodical approach required, with clear outcomes and a process to achieving them being visible. The job required me to travel hospital to hospital working up to three projects at a time. I was a testament to Lenny Henry and his #goodnightguarentee!

For sure I took advantage of all the free shampoo I could, my bathroom was full of them! But after that the benefits wore thin. Living out of a suitcase had become tiresome and I started considering what I could do instead; I wanted something that actually had an impact, a place where I could build something and see the results.

I decided I was in a strong enough financial position to hand my notice in and begin my journey into the unknown. I had several solo contracts that were going well and I decided that I would continue working for myself and would build my own company.

It was during one of my contracts in Birmingham, that I received a call from Chris asking for some help on the implementation of volunteer management website. Our chats continued and soon progressed into a proposition. I decided I would finish my current contract and then join TeamKinetic as a partner.

Eight years on I have never looked back. As the company has grown, our systems improved and our client base ever expanding, I have found gratification and enjoyment in my role! Each time we develop a new function, release an update or meet a new client I get excited that we are genuinely helping others.

As I am the ‘Implementer’ (cue mischievous face for comical value) I spend most of my time speaking and visiting our amazing clients. The interpersonal aspect of a job is something I value highly, wanting to work with people who are happy and also wanting to make a difference is very rewarding.

Each day brings a new task and challenges, every time a new one pops up I write it on a yellow post-it-note and put on my monitor, then upon completing them, I get to scrunch it up and throw it away, with deep satisfaction. My life a much happier nowadays, I spend more time with my family, I have a job that I wake up happy to go to, and I feel like I am making the better impact in the world.

Introducing TeamKinetic: James Carr – Could I be d’Artagnan?

Continuing our celebrations of #IVMD17 and the latest update to VolunteerKinetic 7.3, we’d like to introduce our newest addition to the team, James Carr.

Much like d’Artagnan, my journey began by setting out in search of a new beginning.

I was ready for a challenge, using my skills and knowledge to prove myself as capable.

My studies in Sport Management had equipped me with the theoretical knowledge needed and a handful of short-term internships had given me the practical opportunity to apply it. I enjoyed the dynamic nature of marketing, from understanding the needs of the target audience to creating strategise and analysing results. I also realised how important it was for me to believe in the company, its purpose and values.

When I was invited to an interview at a small business office in Manchester for the role of Marketing Coordinator, I knew such an opportunity had arrived.

Despite all my preparation, on the morning of the interview, my apprehension began to build. With clammy hands, a dry mouth and my collar feeling like it had shrunk an inch since setting off that morning; I eventually arrived at the entrance.

The moment I met the three men who greeted me I relaxed. Perhaps it was their warm welcomes, the light-hearted small talk or just the overall friendliness of these guys that made me so at ease. As we spoke I realised that their work was more than just a job. Collectively they were driven by the goal of delivering a product focused on: building better communities through volunteering.

Of course, those “three men” were TeamKinetic – Chris, Rolf and Steve!

Thankfully, our introductions skipped any duels! In a short space of time, I gained a real understanding of their camaraderie, the crucial role each played and the extensive knowledge that each possessed in understanding their client’s needs.

In the interview, I shared my vision for a  Boxing Club at the University and the story of how I turnt it into a reality.

I coached my club each week, drilling them on technique, fitness and skill. My success measured by the numbering regulars and increasing new members who turned up. I learnt the importance of organisation, communication and leadership.  My experience volunteering equipped me with skills I had never considered before, which I now hold to be invaluable.

Like me, TeamKinetic had their own vision. They wanted to enhance the ability of volunteers managers with a system that engaged volunteers, made their management simpler and more intelligent. Although they had already been working hard to make this possible, they needed someone to help market their brilliant product.

This was certainly something I could do. Thankfully, they thought so too!

Since settling into the team I have learnt so much more about those who make TeamKinetic possible. I have also had the opportunity to speak to some of their clients, who expressed how much they like working with TeamKinetic and their application.

Now my role is to support the company through marketing the great
service they deliver for the likes of Manchester City Council Council, Glasglow Volunteer Centre and Cardiff Metropolitan University.

With a real love of sport, volunteering and marketing, I am excited to begin this opportunity alongside everyone at TeamKinetic.

Introducing TeamKinetic: Chris Martin – What has Volunteering ever done for me?

Volunteer Managers have reason to celebrate this week with International Volunteer Managers Day on the 5th November and TeamKinetic released their latest updates on VolunteerKinetic 7.3!

We decided to take this opportunity to introduce or remind our beloved Volunteer Managers of who TeamKinetic are. Throughout the week we will be releasing a series of Blogs on each of our team members, with their story in volunteering and TeamKinetic.

To kick things off, I thought I would write my blog first. My topic of choice:

What has Volunteering ever done for me?

As I start to write this blog, I’m reminded of the scene from Monty Python’s Life of Brian where John Cleese as the Head of the Judean Peoples Front asks what have the “Romans ever done for us?”, if you have never seen this before, please take two minutes to enjoy this clip.

It is often hard to see the impact of volunteering has whilst actively participating in it. At the time when I undertook my voluntary roles, it was to fulfil a specific need that was being neglected or because someone close to me would ask if I could help.

Only upon reflection can a true appreciation of volunteering and its impact be noticed. In both my personal and professional life, volunteering has built longstanding relationships, that I still value today.

As a younger man, I remember wondering how I would continue some form of swimming once I had completed my lessons. I wanted to keep the competitive aspect that I enjoyed but did not want to continue into highly regimented adult swimming club that was on offer. My options presented themselves as either hanging up my goggles for good or travelling excessively to join another more sociable club. Neither one did I find particularly attractive.

Instead, I wanted something at my local pool, where I could continue developing my ability, maintaining enjoyment and friendly competition.

It was then, I saw a need for a local water polo club!

My friend and I decided that we could run this together. So we planned a pitch for the pool manager and after successfully convincing him of the potential our idea, he agreed to give us a slot.

The catch, however, was that the only available slot was 18:00 -19:30… on a Friday!

At the age of 18, this would break into essential socialising time and we wondered if we could get the attendance we desired. Disregarding this constraint, we decided to go for it and accepted the time slot!

By no means was it an easy ride from there, as the club required a big commitment for two teenage lads, demanding time spent planning, coaching and running the club as a whole.

Of course, we enjoyed doing it, but I would be lying if I said it was always easy going, as sometimes it really could be a pain in the backside!

At times it took some real perseverance to push the club through but the next two years saw us build our club to the level we desired! Eventually, my time to leave for University came, but we had built a club that had gone strength to strength, continuing in existence today (twenty years later!).

With the benefit of hindsight, I can look at that experience differently now. I developed planning skills, interpersonal skills, worked out how to get things done within a public-sector environment, I developed relationships that I still use professionally and friendships I still value today.

Many of the benefits of volunteering cannot be effectively measured, certainly when I started my volunteering journey neither had I considered too.

But now, I think differently. These experiences helped me identify elements of social capital that before I had never considered, and now would never underestimate or value.

I went on to become a qualified Physical Education teacher and set up a business around sports coaching, this journey started at that water polo club, not through any specific long-term plan but to some extent, due to the direction of travel that was started with this experience.

For the last eight years, I have worked in the sector and have grown to appreciate how complex peoples’ motivations to volunteer can be. Often it is beyond the simple reason of being ‘fun’ that we give our time but in the knowledge that we are helping to make a difference.

Since founding TeamKinetic, these beliefs and experiences have driven me daily. We have made it easier to find and be involved in Volunteer opportunities, whilst making it easier to recognise hard work and commitment in a way that is engaging and simpler for organisations that depend on their amazing volunteers.
